Nov. 10 Meeting Notes

SD1       PROJECT LEADERSHIP
·      Timing of Renaming exercise

Email went out asking leads to comment on name shortlist. Not much feedback has been provided to date (about 7 responses). There has been lots of communication with Isabelle (Montreal consortium) to confirm French version. Next step is to conduct an online poll.

Use deadline of November 15 for an online poll and then bring results to ExecCom for a final decision.

·      Web Development: Consortium content

The website needs more content from consortium leads – Information provided under the “Members” section of the new website.

SD2       PURCHASE & ACCESS DATA
·         Introducing new CSDS Consortia under the existing agreement
We have room for 3 new consortium under the current agreement, where these new consortia would only have to pay a $5000 admin fee ($1250*4) and have access to existing data. STC would not provide new customized data. Criteria for approaching new members include their strategic value to CSDS. Kingston and Sudbury have approached CSDS for membership. Other options include Yellowknife (Northern community); Quebec City (Quebec community); Red Deer (former CSDS member).

Tracey to follow-up with Ian regarding data availability for these new members under the 2008-2012 agreement. From an initial review, UPP data appears to have CSD and CT data for all of Canada.

Discussions with Conference Board re: Centre for the North are not looking positive. Conference Board does not look to be moving forward with this concept as it does not appear to be a sufficiently large revenue generator. Might be worth picking up where they are leaving off.

·         Initiating negotiations on 2012-2017 license with new  STC  National Office point person
Peggy has indicated that Marie Anderson has been identified as the new contact person for CSDS, based in Ottawa with a national perspective.

·         Data Acquisition Survey Update

Email cover letter for survey was translated with a final review of translation by Isabelle Lepine (montreal consortium) to finesse the language. Letter will go out by emailto all CSDS users in advance of the survey. Letter will go out ASAP from information@communitydata-donneescommunautaires.ca. Letter will be signed by Peggy. Survey will go out within a couple of days of this letter.

Federico, on behalf of Executive, will prepare a note of thanks recognizing work of data access & purchase WG members. Tracey to help with translation.

CSDS users with access to the database have been updated with input of CSDS consortia. Updated number of users to be shared with leads and users

Hope is that results of survey will be available by new year.

SD3       TRAIN PEOPLE & BUILD CAPACITY
·         Assisting existing Consortia ? Peterborough and Montreal

2 of the 17 consortia have not been responsive over the last year: Montreal and Peterborough. There is a role for CCSD/CSDS to step in and facilitate consortium building in both these instances. There may also be a role for STC to provide some training, as they have done in the past.

Need for incremental capacity building.

SD4       SHARE RESULTS
·      Agenda & chair for next leads meeting - December 16
·      Preparation for March Face to Face meeting in Toronto

SD5       BUILD & FOSTER PARTNERSHIPS
·         Update on data talks with federal departments - Meeting on the 15

Notes from the October 15 meeting will be posted at CSDS-SACASS.ca after the call. One of the actions arising has been to support outreach to inform approximately 70 municipalities about this collaborative initiative; A first round of letters went out to various communities. CSDS leads will be approached first to help identify multiple contacts related to community data within their communities.  Compile a list of who has been contacted to date in CSDS communities and share this list with CSDS leads.

On CIC data – when we start talking with CIC, we will need to include in the discussion those with existing agreements with CIC (especially in the GTA).
